Fractional Accountant/Bookkeeper at Salty Screens

Role Summary Salty Screens, a Christian faith-based company specializing in pool cage building and restoration based in Florida, US, is seeking a remote bookkeeper in the Philippines to complete a full cleanup of our 2025 QuickBooks Online books and reconcile all accounts for the year. This includes correcting the Chart of Accounts, reclassifying transactions, adding new asset entries, loan payment schedules, and completing 12 months of reconciliation.
After the cleanup and handoff of deliverables to the tax filing firm, the role transitions to ongoing monthly bookkeeping, averaging roughly 10-20 hours per month. We expect work to be performed with integrity, stewardship, confidentiality, and accuracy.
Hours & Scope (Two Phases) Phase 1: Initial Onboarding — 2025 Cleanup & Catch-Up Project, Estimated time: 40 Hours, first month engagement Objective: Make the 2025 books accurate, reconciled, and tax-filing-ready. Accounts Covered Reconcile and correct transactions for Jan–Dec 2025 across: Bank account(s) (operating + any additional business accounts) Credit card account(s) (business cards used for expenses) Loan/Note Payable account(s) (SBA, vehicles, equipment, etc., as applicable) Other balance sheet accounts as applicable, including: Owner contributions/distributions Undeposited Funds / Customer Deposits Sales tax payable (if applicable) Payroll liabilities (if applicable) Insurance/escrow accounts (if applicable) Work Included Bring QBO current for all 12 months of 2025 Complete 12-month reconciliations for all accounts (save reconciliation reports) Correct and standardize the Chart of Accounts Merge duplicates, fix naming, map categories properly (COGS vs expenses), and create missing accounts Add/correct asset entries Set up appropriate fixed asset accounts (equipment/vehicles/tools as applicable) Record purchases/disposals accurately Maintain an asset schedule summary for CPA (depreciation handled by CPA unless instructed otherwise) Add/correct loan payment schedule Resolve common QBO issues: Uncategorized items, duplicates, incorrect transfers, undeposited funds issues, and opening balance errors Deliver clean month-by-month reporting and a final year package Deliverables Cleanup plan + weekly progress updates Reconciliation reports for each account/month (Jan–Dec 2025) Chart of Accounts change summary (what changed and why) Asset schedule summary (what was added/updated) Final “2025 Ready for CPA” package: P&L + Balance Sheet Cash summary Questions/issues log for owner decisions
Phase 2: Ongoing Monthly Maintenance (After Cleanup) Estimated time: <20 hours per month in the short term, which may evolve to a full-time role as the business grows Work Included (Phase 2) Monthly transaction coding review and cleanup Monthly reconciliations (all accounts) + reconciliation reports saved Monthly reporting package: P&L, Balance Sheet, cash summary A/R and A/P summaries (if applicable) Flag issues early: Unusual charges, reconciliation variances, cash concerns, and uncategorized items Deliverables (Phase 2) Monthly reconciliations + reports Monthly financial package + notes/questions list
Required Experience 3+ years of bookkeeping for US businesses Strong QuickBooks Online cleanup/catch-up experience beyond transaction coding Proven ability to reconcile multiple accounts and fix reconciliation discrepancies Experience correcting the Chart of Accounts and reclassifying large volumes accurately Strong English communication and documentation US tax filing handoff support experience
Preferred Construction/home services bookkeeping experience CPA (PH) /CMA/ Enrolled Agent (PH) Process automation and Process improvement Familiarity with receipt capture tools
